1. Who we are

apps365.ai is operated by Apps 365 Ltd ("Apps 365", "we", "us"), a company registered in England and Wales (Company No. 13955007, VAT GB 411473233), with its registered office at 20-22 Wenlock Road, London N1 7GU. For the purposes of UK data protection law, Apps 365 Ltd is the data controller for personal data collected through this website.

2. The data we collect

• Enquiry data. When you contact us through the Otto365 chat widget or any form on this site, we collect the name, email address and message you provide.
• Free guide data. When you ask for one of our free guides at apps365.ai/guides, we collect your email address, your first name if you give it, which guide you asked for, the page and campaign link you came from, and whether you ticked the box to receive our AI tips by email. We keep a record of that choice: the exact wording you saw, the date and time, and a scrambled (hashed) version of your IP address.
• Technical data. Our servers automatically log your IP address, browser type, referring page and the date and time of your request. This helps us keep the site secure and working.
• Cookies and similar technologies. We keep cookies to the minimum needed to run the site. Our advertising measurement tools (Google Ads and the Meta pixel) run in a restricted mode and set no advertising cookies unless you choose Accept on our cookie banner. If you choose Decline, or make no choice, they stay in that restricted mode. We remember your choice in a cookie for up to six months.

We do not knowingly collect data from children, and we do not ask you to provide special category data through this site.

3. How and why we use your data

We use your personal data to:

• respond to your enquiry and provide the information or service you asked for;
• send you an acknowledgment that we have received your message;
• send you the free guide you asked for, in one email with a download link;
• send you practical AI tips and occasional offers by email, but only if you ticked the box to ask for them (about one email a week);
• keep records of our correspondence and provide any services you go on to engage us for;
• maintain the security, performance and integrity of our website;
• comply with our legal and regulatory obligations.

4. Lawful bases

We rely on the following lawful bases under UK GDPR:

• Consent - when you choose to send us an enquiry through the site, when you tick the box to receive our AI tips by email, and for advertising cookies. You can withdraw consent at any time: reply STOP to any of our emails, use the unsubscribe link, or email info@apps365ltd.com.
• Legitimate interests - to respond to you, send you the guide you asked for, run and secure our website, and to manage our business, balanced against your rights.
• Contract - where we are taking steps to enter into, or perform, a contract with you.
• Legal obligation - where the law requires us to keep or disclose certain records.

5. Who we share it with

We do not sell your personal data. We share it only with trusted providers who help us run our business, such as our website hosting and email delivery providers, and only so far as they need it to provide their service to us. These providers are bound to protect your data. We may also disclose data where required by law or to protect our legal rights.

6. Where your data is held

We are UK-based and host data on UK and EU infrastructure wherever possible, GDPR-first. If any data is transferred outside the UK or European Economic Area, we make sure appropriate safeguards (such as UK approved contractual clauses) are in place.

7. How long we keep it

We keep enquiry data only as long as needed to deal with your request and for a reasonable period afterwards for our legitimate business and legal purposes, then we delete or anonymise it. Server logs are kept for a short period for security and diagnostics.

If you ask for a free guide, we keep your details while we have a reason to stay in touch, and delete them if you ask us to. If you stop our tips emails, we keep a short record of your address on a do-not-email list, so we never email you again by mistake.

8. Your rights

Under UK data protection law you have the right to access, correct, delete or restrict the use of your personal data, to object to processing, to data portability, and to withdraw consent at any time. To exercise any of these, email info@apps365ltd.com. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk, though we would welcome the chance to resolve any concern first.

9. Keeping your data secure

We use appropriate technical and organisational measures to protect your data, including encryption in transit (HTTPS), access controls and spam protection on our forms. No method of transmission over the internet is completely secure, but we work hard to protect your information.
