Contents: what you will learn

Start here
  • Why the order matters: Copilot finds anything a person can already open
  • The six-week path at a glance, from licences to rollout
  • Who it is for, how long it takes, and what you will have at the end
Part 1: The readiness checklist (37 steps, in order)
  • Licences and set-up first: eligible plans, update channels, mailboxes and network checks
  • Data, audit and controls: audit log, sensitivity labels, retention
  • SharePoint and OneDrive: find the riskiest sites before anyone asks Copilot
  • Teams, then people: owners, guests and the staff briefing
  • Three gates: do not move on until each one is true
Part 2: The SharePoint oversharing review (10 checks)
  • "Everyone except external users", "People in your organization" and "Anyone" links
  • Public teams and groups, forgotten unique permissions and guests who never left
  • Unlabelled sensitive files, sites to keep out of Copilot for now, and owners who do not know what they own
  • For each check: where to click, what good looks like, how to fix it, with or without SharePoint Advanced Management
  • Risk levels, who fixes it and by when, and a routine that keeps it fixed
Part 3: Pilot to rollout
  • A small pilot with a weekly review, then rollout in waves
  • What to watch each week
  • Clear go/no-go criteria before each wave
Part 4: Licence and data notes
  • Copilot Chat or a Microsoft 365 Copilot licence: who needs which
  • What Microsoft says happens to your data, with the GDPR and similar laws in mind
Part 5: Owner sign-off
  • The one-page record that you are ready to switch on (also as an editable Word form)
Part 6: Make it sound like us
  • Brief Copilot once so its drafts sound like your organisation
  • Eight ready-to-copy prompt templates (also as an editable Word brief)
Also included
  • Excel readiness tracker: checklist, oversharing log, pilot tracker and sign-off tabs
  • Changes log, errata and every source, checked on 10 October 2026
  • Free updates for 12 months

Who it is for

  • The owner or IT lead of a small or mid-size organisation on Microsoft 365 (Business, E or A plans)
  • Anyone about to buy, or who has just bought, Microsoft Copilot licences
  • Admins who want a set order of checks, not a list of tips

By the end

  • Licences, settings, audit and sensitivity labels set up in the right order
  • Every high-risk SharePoint site reviewed and fixed or restricted, each with a named owner and a date
  • A small pilot with weekly evidence and a clear go/no-go decision
  • A signed owner sign-off for your records
  • Copilot drafts that sound like your organisation

Questions

Is this official Microsoft material?

No. The kit is written by APPS 365 LTD and is not affiliated with or endorsed by Microsoft. Every Microsoft fact and click path was checked against Microsoft Learn on the review date, and the sources are listed in the guide.

Which Microsoft 365 plans does it work with?

Microsoft 365 Business (Basic, Standard, Premium), E and A plans. Some of Microsoft's oversharing tools come with SharePoint Advanced Management, whose listed base plans are Office 365 E3, E5 or A5 and Microsoft 365 E1, E3, E5 or A5. Every check in the kit also has a route for organisations without those tools.

Does it work in my country?

Yes. Microsoft's admin centres are the same worldwide. The data protection notes cover the GDPR and similar laws in other countries, and the kit never quotes prices: it links to Microsoft's pricing page so you can check them in your own currency. The kit is written in British English.

Do I need a Copilot licence before I start?

No. Most checks are worth doing before you buy, and the licence decision notes help you decide who needs a Microsoft Copilot licence and who can use Copilot Chat.

What if Microsoft changes things?

Each version shows the date its Microsoft facts and links were checked. Updates are free for 12 months from your purchase, and each version lists what changed.

Can I share it with colleagues?

Yes, within your own organisation. The licence covers use within one organisation. Please do not post it publicly or resell it.

What is your refund promise?

If the kit is not right for you, ask for a refund within 14 days of purchase. This applies to your first purchase of the kit.

Can you help me apply it?

Yes. Book a free 30-minute call at https://calendly.com/apps365/30min and we will look at your setup together. If you then hire APPS 365 LTD for a build or audit of £999 or more within 90 days, 100% of what you paid for the kit comes off the price.
